When a business or professional refers a client to another service provider, they are doing more than sharing a name and telephone number. They are placing a level of trust in that person to provide their client with the same professionalism and customer service they expect from their own team. That is especially important when working with attorneys, law firms, financial professionals, public adjusters, and other businesses whose relationships with their clients are built on trust.
With more than 15 years of legal administrative and litigation paralegal experience, I understand that the details matter. How quickly a client receives a response, how clearly instructions are communicated, whether deadlines are respected, and how the matter is followed through to completion all contribute to the client's overall experience.
More Than the Notarization
When a professional refers a client to Notary by Kathy & Co., my role does not begin and end with applying a notarial seal. Once the introduction is made, I can coordinate directly with the client. I explain what to expect, provide signing instructions, schedule the appointment, help the client prepare for the notarization, conduct the signing, and return the completed documents to the appropriate parties.
For Remote Online Notarizations, this also includes helping the signer understand the registration and identity-verification process before the appointment so the signing can proceed as smoothly as possible. The referring professional remains informed, but their staff does not have to manage every step.
Communication Matters
Good customer service often comes down to communication. Clients should know what is expected of them, when their appointment will take place, what they need to have available, and what happens after the signing. I also understand the importance of keeping the referring professional informed. Once the signing is complete, the executed documents and applicable completion information can be provided to the client while the referring office is copied. That follow-through matters, especially when someone has trusted me with their client.
Convenience Is Part of the Service.
Many clients work during traditional business hours. Others may be caring for children, traveling, living in another location, or simply unable to make another trip to an office. That is why I offer after-hours and weekend appointments, as well as Remote Online and mobile in-person notarization services when appropriate.
A signing scheduled for 10:00 p.m. receives the same attention and follow-through as one scheduled during the day. And when appropriate, the client pays me directly, meaning the referring business does not have to add another vendor invoice or administrative task to its workload.
